How to Manage Multiple Projects in Your Portfolio?

In most businesses, the project managers need to handle a bigger number of projects than they have resources for. The team, their competences, and especially funding are always limited for a growing list of projects. The way the project managers (PMs) handle this list is key to the organization’s productivity and profits.

There are a number of guidelines that most PMs like you use to cope in their daily tasks.

Firstly, you need to know how to prioritize all your projects in order to complete in due time the most important ones. This way you will use your resources better and will maximize your profits.

Once prioritized, you need to be able to plan the resources and control the execution of the tasks by your team. But here, more important than anything is the PM’s ability to manage time, as we’ve previously discussed here or here. Project management is about time management, of your own time, and of your team’s.

A good tip for busy project managers, with a whole bunch of projects to handle, would be to create project categories, so they need to remember and manage fewer “projects”. It’s all about perception, and categorization will help you see the image from a higher level, so more strategically.

And once you create categories of projects, you absolutely need to learn to delegate. Have around you trustworthy, talented people and let them take stuff off your hands. The more you can delegate, the more you can manage the higher-level projects and advance the business.

Finally, it is essential that you use one single tool for tracking your multiple projects and categories. Have set in one tool all the tasks, the time tracking, the project reports and the communication you need for successful completion. This will tremendously streamline your overview and will make it much easier to be a project manager.
